Wavebid Item Capture App

This article describes the processes for creating auctions and lots via the new Wavebid Item Capture app.

App Basics


Installation

Android users can download the app here or find it through the Google Play Store by searching for "Wavebid" and selecting the Wavebid Item Capture app.

The Wavebid Item Capture app can only be downloaded on Android devices with access to the Google Play Store.

iOS (Apple) users can download the app here or find it through the Apple App Store by searching for "Wavebid " and selecting the Wavebid Item Capture app.

Requirements

The minimum supported operating system versions are:

  • Android: 6
  • iOS: 15

*Wavebid highly recommends using the latest versions of both the Android and iOS operating systems.

Logging In

After the app has been installed on the device, log in using a Wavebid username and password. Login credentials for the app are the same as they are for the the desktop version of Wavebid.

If two or more people are sharing the same user account, only one person may be logged in at a time- the first user will be kicked out every time the second user logs in. Wavebid does not recommend that users share accounts. Steps on creating a new user account can be found here.

Permissions

In order to take photos, the Wavebid Item Capture app must be granted access to the device's camera. For either operating system, if the access is not initially granted, it will need to be changed in the device's settings so that access is granted.

Please note, allowing access to the device's camera does not mean that images taken via the app will be automatically saved to the device. That setting will need to be turned on separately

Saving Images to the Device

Photos taken via the Wavebid Item Capture app will not be saved to the device unless the Auto Save to Camera Roll settings is enabled. Only images taken after the setting is enabled will be saved to the device.

This settings can be enabled by clicking on the Menu icon in the top left corner of the screen, selecting Image Storage Settings, and turning on the Auto Save Save to Camera Roll option.

App Updates

When available, updated versions of the app can be downloaded from the Apple or Google Play stores, or by clicking the Tap to Update link found on the main menu page above the Log Out button.

Mobile Dashboard


After logging into the Wavebid Item Capture app, users will be taken to the Mobile Dashboard.

  • Click the Upcoming button to view all upcoming auctions.
  • Click the Active button to view all active auctions.
  • Click the Completed button to view all completed auctions from the last 90 days. Auctions older than 90 days cannot be accessed through the app, but can be accessed in the Auction Vault through the desktop version of Wavebid.
  • Click the Inventory button to access Inventory information, if applicable.

Users with Appraisal Builder Pro must access appraisals through the desktop version of Wavebid.

To search for a particular auction, enter part of the auction's name in the Search field at the top of the Mobile Dashboard.

 

Creating an Auction


Users can create an auction workspace through the desktop version of Wavebid or through the new Wavebid Item Capture app. Auctions created through the app can be accessed through the desktop version and vice versa.

  1. Log into the Wavebid Item Capture app.
  2. While viewing the Mobile Dashboard, click on the Plus icon in the lower right corner of the page.

  3. Enter a name for the auction into the Name field.                                AppCreateAuction2.jpg
  4. Click on the Start Date field to use the calendar pop-up to select a start date.AppCreateAuction3.jpg
  5. If desired, click on the Update Photo link at the top of the page to upload a primary auction image.
    • An image does not need to be uploaded during the auction creation process. An image can be uploaded or edited at a later time via the desktop version of Wavebid.
  6. Click the Create link in the top right corner of the page.
    • Once created, the auction will now appear under either the Upcoming or Active tabs on the Mobile Dashboard.                                                                                       AppCreateAuction1.jpg

Editing an Auction

Once an auction workspace has been created, the details of the auction cannot be edited in the Wavebid Item Capture app. To make edits to the auction title, date, or main image, please make those edits on the desktop version of Wavebid.

Deleting an Auction

If an auction workspace needs to be deleted entirely, that will also need to be done via the desktop version.

 

Creating and Managing Lots


Please note that Days/Rings (for Multi-Day/Multi-Ring events) cannot be assigned to lots via the Wavebid Item Capture App. However, all of the lots can be captured via the app and then assigned a Day/Ring via Lot Bulk Actions on the desktop version of Wavebid.

If a user does not have a cell/internet connection, they will be in Offline Mode. Users will not be able to edit lot details while in Offline Mode. Offline Mode is only used to add photos to lots.

  1. Log into the Wavebid Item Capture app.
  2. Click on the appropriate auction from the Mobile Dashboard.
  3. Click on the + Add Lot button at the bottom of the page.                                                        AppLot1.jpg
  4. Enter a lot number into the Lot Number field.
    • This is the only field required to create a lot.                    AppLot3.jpg
  5. Enter a title for the lot into the Name field (this field is optional).
  6. Click on the Plus icon (+) in the Images section to take or upload photos. See below for more details.             
  7. Enter a description into the Description field (this field is optional).
    • This field is fully HTML optimized so text can be bolded, sizing can be changed, and paragraphs can be formatted, etc. Hyperlinks can also be added to this field.
    • The VIN Lookup tool can be used to automatically populate the Description field with the vehicle's information.                                                                                     AppHTML2.png
  8. Click on the Category field and select a Primary Category from the resulting list (this field is optional).
  9. Additional fields can be added to each lot by managing Lot Builder fields. See below for more details.
  10. Click the Create link in the top right corner of the page.                 AppLot2.jpg
  11. When the lot is saved, the user is returned to the auction workspace and a confirmation message appears at the top of the page. Continue these steps to create additional lots.AppLot4.jpg

Sorting and Searching Lots

Once created, lots will appear in the auction workspace. Lots will default to appearing in order by ascending Lot Number. Click the Ascending/Descending button on the right side of the page to change the order in which the lots appear. If lots need to be re-numbered in bulk or re-sequenced, those changes will need to be made in the desktop version of Wavebid.

To search for a specific lot, enter the search parameters (ex. lot number, word used in the lot title or description) into the Search field at the top of the page.

To search for lots that are missing images, click the Missing Images button at the top of the page. The app will display a list of lots that do not contain any images.

Editing Lots

To edit an existing lot, click on the lot, make the desired edits, and then click on the Save button in the top right corner of the page.

If a user does not have a cell/internet connection, they will be in Offline Mode. Users will not be able to edit lot details while in Offline Mode. Offline Mode is only used to add photos to lots.

Deleting Lots

To delete a lot, navigate to the list of lots for the auction , click on the Three Dots to the right of the lot, and select Delete Lot. The lot will be removed from the lot list and a confirmation message will appear advising the lot was deleted. Please note that deleted lots cannot be retrieved.

 

VIN Lookup Tool


The VIN Lookup tool allows users to enter or scan a VIN and have the vehicle's information automatically populate in the lot.

To use the VIN Lookup tool, navigate to a lot and click the Barcode icon in the top right corner of the screen.

Select whether the VIN will be entered manually or scanned in.

For manual entry, enter the VIN into the VIN Number field and click the Submit button.

When selecting the scan option, the camera on the device will open. Hover the camera over the VIN barcode until it is in focus and in frame. If needed, click the Flashlight icon to turn on the device's light to better see the VIN.

Once the VIN has been captured the camera will close and the vehicle's details will populate in the Description field. This information can be edited, if needed. Click the Save Lot button to ensure all changes are saved.

Taking and Uploading Photos


The steps below can be used to upload a primary auction image or to upload images to a lot. In order to take photos, the Wavebid Item Capture app must be granted access to the device's camera.

please note, photos taken via the Wavebid Item Capture app will not be saved to the device unless the Auto Save to Camera Roll settings is enabled. However, if the image fails to upload to Wavebid, the user will have the option to save the image to their device.

Additionally, the Barcode System cannot be used when taking photos and uploading them directly within the Wavebid Item Capture app.

  1. From the Mobile Dashboard, select the applicable auction and then lot.
  2. Click on the Plus icon (+) in the Images section.                                AppPhoto1.jpg
  3. The Camera app on the device will open. Take a photo or click on the Photo icon in the lower left corner of the page to select a photo from the device's library.
    • Use a Pinch action on the camera's touch screen to zoom in or out when taking photos.
    • After taking all the desired photos, click on the X in the top left corner of the page to return to the Images page.
    • If Portrait photos are uploading as Landscape (sideways) or vice versa, the device's screen orientation may need to be adjusted.                                                    Photo2.png                                                                           
  4. The Images page will open while the image uploads. Click the Plus (+) icon on the Images page to add additional images.                                                                                     AppPhoto8.png

Photos that have been submitted to Wavebid, but have not yet been uploaded to the server will appear in the Upload Queue. How quickly photos are uploaded will depend on the size of the photos and the strength and speed of the internet connection.

Uploading Photos While Offline

The Wavebid Item Capture app's Offline Mode allows users to catalog in areas with poor internet and cell service.

There is no need to turn Offline Mode on or off. The Wavebid Item Capture app will automatically enter Offline Mode when service is limited and exit Offline Mode when service resumes.

While the app is in Offline Mode, Lot Numbers can be entered and photos can be taken and/or selected for upload, but additional lot information (such as titles and descriptions) cannot be entered.

If an image fails to upload to Wavebid, the user will have the option to save the image to their device.

Aspect Ratio

Starting in version 1.3.0, the Wavebid Item Capture app allows users to select their preferred aspect ratio when taking photos. A toggle button on the camera screen (similar to the front/back camera or flash controls) switches between 4:3 and 16:9. The selected aspect ratio is applied to all subsequent photos until changed, so users can set it once to match their preferred workflow and adjust on the fly whenever a specific subject would benefit from a different ratio.

Editing Photos

The order in which the images appear in a lot cannot be changed through the app. Edits to images, such as cropping and rotating, cannot be done through the app. Edits to image or image order must be done through the desktop version of Wavebid.

Deleting Photos

  1. From the Mobile Dashboard, select the applicable auction and then lot.
  2. Click the View All link under the Images section.                                       AppPhoto4.png
  3. To delete a single image:
    1. Click on the image.
    2. Click on the Trashcan icon in the top right corner of the page.             AppPhoto3.png
  4. To delete multiple images at once:
    1. Click the Select link in the top right corner of the page.                 AppPhoto2.png                
    2. Select each photo to be deleted.
    3. Click the Delete link in the top right corner of the page.                AppPhoto6.png
  5. A pop-up message will appear. Click the Delete button to delete the images from the lot.
    • If an image is deleted in error, the image will need to be re-uploaded from the deviceAppPhoto5.png

 

Managing Lot Builder Fields


Users can choose which fields will appear on each lot while cataloging. All lots will contain a field for Lot Number, Lot Title/Name, Lot Description, and Category but more fields can be added. However, Custom Lot Builder fields that appear in the desktop version of Lot Builder will not be accessible in the app.

The Lot Builder fields that are selected in the app are device-specific. Meaning that field selections should save as long as the user catalogs on the same device, but will need to be re-selected if they use a different device.

  1. From the Mobile Dashboard, click the Menu icon in the top left corner of the screen and then select Lot Builder SettingsLotBuilderSettings4.png

Please note, the VIN Lookup tool is not available through the app. The VIN Lookup tool must be used through the desktop version of Wavebid.

 

Troubleshooting


Users Can't See Auctions

If a user is logged in but is unable to see certain auctions on the Mobile Dashboard, the auctions are likely restricted. For more information, see Why Can't I See Auctions on the Dashboard?

Images are Sideways

If Portrait photos are uploading as Landscapes or vice versa, the device's screen orientation may need to be adjusted so that the images are uploaded correctly.

Images Didn't Upload

If images do not upload to Wavebid promptly, they can be saved to the device via the Upload Queue. To view the Upload Queue, view the catalog on the app and then click on the Cloud icon in the lower right corner.

A new screen will open with a list of images. Click the Retry icon to the right of an image to attempt the upload again.

Click the Download icon to save the image to the device.
