This article describes the process for exporting catalogs from Wavebid to LiveAuctioneers and importing post sale data back into Wavebid.
This article contains the following sections:
Auction Setup
Auction companies do not need to link their Wavebid account to LiveAuctioneers in order to manually import/export their data between the two.
When creating an auction in Wavebid, Universal should be selected from the Auction Software drop-down. There are no other settings that need to be in place in order to export a catalog for LiveAuctioneers. Please note that the details of the auction will not be exported- just the catalog. As such, dates, times, starting bids, etc. will all need to be updated in LiveAuctioneers directly.
Exporting an Auction
Auction companies looking to export to LiveAuctioneers should perform a Universal Export of their catalog and accompanying images. The resulting export can then be manually imported into LiveAuctioneers. For more information, see Universal Exports.
Steps for importing the catalog and images to LiveAuctioneers can be found in the help articles below:
Importing Bidders and Sale Data
Bidder and sale data can be exported from LiveAuctioneers and then manually imported into Wavebid to generate invoices and accounting reports. Prior to importing into Wavebid, the spreadsheets from LiveAuctioneers will need to be re-formatted to remove any currency values and any leading zeros. The spreadsheet will also need to be saved as a Comma-Separated Value (.CSV) file type.
Specific steps (and troubleshooting) for importing bidder and sale data can be found in the Importing Post Sale Data help article.
Reformatting Currency Values
LiveAuctioneers exports their sale values formatted as 'Currency', which means they contain dollar signs and commas. These dollar signs and commas need to be removed before the values can be imported into Wavebid. This can be done by formatting the impacted cells as 'Number' rather than 'Currency'.
To change the format of these cells in Excel:
- Highlight the impacted column (ex. Sale Price).
- Right click on the column and select Format Cells from the menu. A pop-up menu will open.
- Select Number from the Category list on the left side of the pop-up.
- Confirm that 2 is entered in the Decimal Places field.
- Click the Ok button. The values should now appear without dollar signs (or commas).
Removing Leading Zeros
LiveAuctioneers often exports their lot numbers with leading zeros. These leading zeros will need to be removed prior to importing into Wavebid. Some versions of Excel will prompt users to remove these leading zeros automatically. To do so, click the Convert button in the pop-up.
Please note, this will not work for lot numbers containing letters (ex. 12a). The leading zeros will need to be removed manually for those lots.
Users may be able to use Excel's Find and Replace tool to remove the leading zeros. More information on that tool can be found in the Microsoft Excel Support Center.
If Excel does not remove these leading zeros, follow the steps below to do so manually:
- Highlight all of the individual cells (not the entire column) containing lot numbers .
- Click on the Yellow Triangle to the right of the first Lot Number cell to expand the menu.
- Select the Convert to Number option.
- The leading zeros should be removed from all the highlighted cells.
- Please note, these steps will not work for lot numbers containing letters (ex. 12a). The leading zeros will need to be removed manually for those lots.
- Users may be able to use Excel's Find and Replace tool to remove the leading zeros. More information on that tool can be found in the Microsoft Excel Support Center.
Troubleshooting
Some common import/export errors are found below. For additional information, see the 'Troubleshooting' sections in the Exporting Catalogs and Importing Post Sale Data help articles.
Lot Descriptions/Titles Not Appearing on Invoices
If data was imported from LiveAuctioneers to Wavebid and the resulting invoices do not contain Lot Descriptions (or Lot Titles, depending on how the invoices are formatted), this is likely because the leading zeros in front of the lot numbers were not removed prior to import.
To correct the issue, use Lot Bulk Actions to delete the lots with leading zeros from the catalog. Then, follow the steps above to re-format the spreadsheet to remove the leading zeros. Once removed, the spreadsheet can be imported into Wavebid again.
Line Processing Error
If the Selling Price field contains a dollar sign or a comma, the system will report an error. To correct the issue, remove all dollar signs and commas from the spreadsheet and attempt to upload again.
Paddle Number Already In Use or Previously Imported
This messaging appears when manually importing Buyer information because the paddle number (bidder number) named in the message has already been successfully imported once.
This error does not indicate that there was a problem importing the bidder's information, but rather the paddle number being imported is already associated with customer data, and that data cannot be overwritten.
If needed, users can confirm the bidder data was imported by navigating to the applicable auction and select Accounting > Reports > Registered Bidders. The paddle numbers listed in that message should appear as registered bidders on that report.
