Auction Preview

The Auction Preview page is among the most visited pages in Wavebid. This article describes the features of the two available Auction Preview formats and how to navigate them.

Auction Preview Formats                                                                       

To access the Auction Preview, navigate to the appropriate auction from the Dashboard and select Auction > Preview Auction.

There are two options for viewing the Auction Preview page. Wavebid defaults to the Page Format view, but this can be changed by navigating to the appropriate auction on the Dashboard and selecting Auction > Edit Settings. Click on the Auction Attributes tab and then select the desired format from the Auction Preview Page drop-down menu.                                                                  AuctionPreviewFormatDropdown.JPG

Page Format

This recommended default setting allows for the editing of lot information directly in the table cells of the page without having to go back to Lot Builder. Additional benefits of the Page Format view include:

  • More compact viewing fields, so more information can be viewed at once.
  • Ability to create Report Views, which are stored on the browser's cookies.
  • Quick Lot Actions links.
  • The catalog is broken up into pages, with options for changing the number of lots that will appear on each page.
  • Editing tools are available for quick, text-formatted editing.

Scrolling Format

No information may be edited through this view, but all of the information for all of the lots will be visible. This is ideal for very large auctions when lot information may need to found at-a-glance. Benefits of the Scrolling Format view include:

  • Expanded view of the available fields.
  • All of the lots are loaded at the same time.
  • Basic text entry box that emphasizes data entry speed.
  • Faster loading for large auctions.

 

Page Format View                                                                                    

Navigation

To scroll left or right in the table, scroll down to the bottom of the page and move the left-right scrollbar at the bottom of the table.

Select a quantity from the Show Entries drop-down menu at the bottom of the page to change the number of lots listed per page. Selecting a higher number will result in the preview being fewer pages, while selecting a lower number will result in the preview being more pages. AuctionPreviewShowEntries.JPG

To move between the Auction Preview pages, use the navigational buttons in the bottom right corner of the page.

Features

The Auction Preview can be filtered, sorted, and searched:

  • Filter lots by selecting an option from the Filter Options drop-down menu at the top of the page:

    • Incomplete Lots
    • By Category
    • By Sellers
  • Sort lots by clicking on the column headers. For example, clicking the Name/Title column header will sort all of the lot names alphabetically from A-Z. Clicking it again will sort from Z-A.
  • Search by entering text into the Search field. Wavebid will automatically filter the lots based on the text entered.

  • Preview Lot: Click on the Binoculars icon to be taken to a preview page just for that lot.
  • Edit Lot: Click on the Pencil icon to be taken to the Lot Builder page for that lot. Lots can also be edited by simply clicking on the various Auction Preview fields to make changes.
  • View Invoice: Click on the Arrow icon to view the invoice that lot was clerked into. This option will only appear after a lot is clerked during an auction.

  • New: A pop-up window will open. Enter information to create a new lot and then click the Create button. The new lot will be visible in the Auction Preview.

The remaining Lot Actions options will only become available after selecting a lot by clicking the checkbox to the left of the Lot Number:

  • Quick Edit: The built-in lot editor window will open. Make the desired changes and click the Update button. Changes will be reflected in the Auction Preview. Lots can also be edited by simply clicking on the various Auction Preview fields to make changes.
  • Edit - Lot Builder: The Lot Builder page will open to the selected lot. Save changes by clicking the Disk icon in the top right corner.
  • Add Video: The Video upload page will open for this lot. Enter the YouTube embed code and click the Save button. See the Attachments section of the Lot Builder article for more information.
  • Add PDF: The PDF upload page will open for this lot. Select the attachment and click the Save button. See the Attachments section of the Lot Builder article for more information.
  • Delete: Select to remove the selected lot from the catalog. A confirmation window will open. Click the Delete button to confirm. The lot will no longer be visible on the Auction Preview. Please note, deleted lots cannot be retrieved.

Lots can also be edited by clicking on the various fields to make changes.

To download a copy of the Auction Preview, click the Download button in the top right corner of the page.                                                                                                                                     AuctionPreviewDownloadButton.JPG

  • Copy: Copies all of the rows to the computer's clipboard. The content can then be pasted anywhere.
  • Excel: Downloads the Auction Preview content into an Excel spreadsheet.
  • CSV: Downloads the Auction Preview content into a comma-separated values format spreadsheet.
  • Print Visible: Places all of the rows and columns selected (using the Column button) into a table to be printed.
  • Print All: Places all of the rows and all of the columns (regardless of whether they've been selected using the Column button) into a table to be printed.
  • PDF (no images): Downloads the Auction Preview content into a PDF document without any photos.

 

The Print Form button in the top right corner of the page will list any company forms with an Auction type. Select a form from the drop-down. A pop-up window will appear. Enter the number of copies desired and click the Ok button. Report Builder

Wavebid allows users to make adjustments to the view of most reports and then save those settings as a Report View that can be selected when running future reports. This saves time by not having to adjust every report in the same way every time it's run.

There are several columns visible on the Page Format view. Users can choose to view fewer columns by clicking the Columns button in the top right corner of the screen. Click on the column titles to add or remove them from view. Columns in white will be visible in the Auction Preview, while columns in blue will not. Click on the Columns button again to exit the column selector.

Select the filtering and sorting options needed and save it as a Report View that can then be applied to the page:                                                                                                                                                                                                    AuctionPreviewReportBuilderButton.JPG

  1. Report Name: Enter a title for the Report View.
  2. Scope: Selecting Company allows the Report View to be seen by any company user, while selecting User will only allow the current user account to see the Report View.
  3. Is Default Report?: Check this box to have the selected Report View automatically applied anytime the auction is previewed. If the scope is company-wide and this option is enabled, this report will then become the default for every company user.
  4. Save: Applies the changes and saves the Report View.
  5. Select a Report: Once a Report View has been saved, it can be selected from the Select a Report drop-down menu. Clicking the Apply button will apply that Report View to the current Auction Preview. Selecting a Report View from the drop-down menu and then clicking the Trashcan icon will delete that Report View.
  6. Click the Report Builder button again to minimize the folder.

 

Scrolling Format View

The Auction Preview itself can be filtered, sorted, and searched:

To scroll left or right in the table, scroll down to the bottom of the page and move the left-right scrollbar at the bottom of the table.

 

The Page Actions button in the top right corner of the page has two options:

  1. Print Form: Displays any company forms with an Auction type. Select a form from the drop-down. A pop-up window will appear. Enter the number of copies desired and click the Ok button.   2. Create New Lot: A pop-up window will open. Enter a new lot number into the Please enter the lot # to create field and click the Ok button. The lot will be added to the auction and will be visible in the Auction Preview. Click the Pencil icon in the Lot Number column to then edit the lot.

In the Lot Number column, there are five options within each cell:

  • Edit Lot: Click on the Pencil icon to be taken to the Lot Builder page for the lot. Lots can also be edited by simply clicking on the various Auction Preview fields to make changes.
  • Add PDF: Click on the Page icon to be taken to the PDF upload page for this lot. See the Attachments section of the Lot Builder article for more information.
  • Add Video: Click on the Film icon to be taken to the Video upload page for this lot. See the Attachments section of the Lot Builder article for more information.
  • Delete Lot: Click the Trashcan icon to delete the lot from the catalog.
  • View Invoice: Click the Arrow icon to view the invoice this lot was clerked into. This option will only appear after a lot is clerked during an auction.
